GRANT CALENDAR, POLICIES AND PROCESS
CALENDAR
Grants will be awarded on an annual basis according to the following calendar:
Fall: Open for initial “Letters of Intent” sent via email to the Supple Foundation.
Winter: Organizations will be selected and notified by email to prepare and submit a full grant application according to the policies and procedures detailed below.
Spring: Grant recipients will be announced and awards distributed by June 1.
GRANT POLICIES
The Foundation believes that its support of an organization should enhance the overall goals and growth of the grantee organization and fulfill the mission of the Supple Foundation.
1. General
Awards will be made only to qualified, non-profit 501c3 charities who can demonstrate an ability to fulfill the mission of the Supple Foundation.
Award preference will be given to specific projects that would otherwise not be fully possible without the award. Funding requests for general operating purposes are discouraged.
The grantee organization should have broad based funding support so that the Supple Foundation does not exceed 25% of total donated funds.
The grantee organization should reside in the Coachella Valley or be able to demonstrate how the project envisioned will benefit citizens of the Coachella Valley.
2. Exclusions
The Foundation will not provide funding for any of the following:
Unsolicited applications not approved by the Board of Directors
Individuals
Fund raising events, dinners, advertising or similar events
Lobbying, promotion, or attempts to influence legislation or other partisan political activities
Labor or service clubs whose principal activity is for the benefit of the members
Private operating foundations
Organizations or projects outside of the United States
GRANT APPLICATION PROCEDURES
The grant process begins with a Letter of Intent. This is a free-form letter from the potential grantee organization to the Board of Directors of the Supple Foundation. This letter should be submitted via an email to info@supplefoundation.org.
The Letter of Intent should be no more than 1-2 pages and include the following:
1. Name of potential Grantee Organization
2. Physical address and phone number
3. Primary contact name and email address
4. Federal Tax Identification Number
5. Description of the organization’s mission
6. How long the organization has been in operation
7. Revenues for past two fiscal years
8. Operating profit for the past two fiscal years
9. Percentage of revenue derived from donations
10. Amount of funds requested
11. Description of the project for which funds are intended
12. Other funding or in-kind sources for project
While evaluating Letters of Intent, the Board of Directors may contact the potential grantee organization with additional questions and, in rare cases, arrange a site visit.
After the initial screening of the Letters of Intent, the Foundation will invite chosen applicants to submit a full application. Applicants will be notified via email and a full application will be provided. Applicants will submit their application via a secure, encrypted system. The full application should include attachments as follows:
· Most recent two fiscal years audited (if available) financial statements
· Most recent two fiscal years entire IRS Form 990, including all schedules
· IRS Letter of Determination of 501 C 3, with a statement certifying that current IRS status has not lapsed
Reporting Requirements: The email which notifies the applicant that they have received an award will include the requirements for periodic reporting on the progress and use of funds. Generally, these reports will be in six-month increments with a final report due at the end of the related project. However, reporting frequency may change based on the specific circumstances of the recipient.
